The Village Life Center is seeking a Bilingual Mental Health Office Manager to support our behavioral health team and help ensure clients receive exceptional care and support from the moment they contact our office.
This role is ideal for someone who enjoys balancing administrative responsibilities with client interaction and who has experience working in a medical, behavioral health, counseling, or healthcare setting.
About the Role
As the Mental Health Office Manager, you will serve as a central point of support for clients, clinical staff, and leadership. You will help coordinate daily office operations, manage client records and scheduling, assist with insurance verification and authorizations, and ensure smooth communication throughout the office.
The ideal candidate is professional, dependable, highly organized, and comfortable handling confidential information.
Responsibilities
- Answer incoming calls and assist clients in a professional and compassionate manner
- Support client intake and onboarding processes
- Assist Spanish-speaking clients with communication and translation as needed
- Schedule client appointments and maintain calendars
- Verify insurance eligibility and manage insurance authorizations
- Prepare, maintain, and organize confidential client and employee files
- Maintain accurate medical and administrative records
- Assist with office reporting, spreadsheets, and documentation
- Support the Program Manager with office operations and supply management
- Maintain filing systems and databases with a high level of accuracy
- Coordinate mail distribution and office correspondence
- Assist with quality assurance and compliance activities
- Support office safety procedures and drills
- Maintain professionalism and confidentiality in all interactions
- Perform additional administrative duties as assigned
Qualifications
Required
- Bilingual in English and Spanish (spoken and written)
- Strong organizational and multitasking skills
- Excellent communication and customer service skills
- Proficiency with Microsoft Office and general office technology
- Ability to maintain confidentiality and professionalism
- Experience with scheduling, record keeping, and office administration
